2008

Fifth North American Echinoderm Conference

20 to 25 July 2008

Florida Institute of Technology, Melbourne, Florida USA

including a celebration of the career of John Miller Lawrence [PDF File]

The NAEC is intended primarily for colleagues in Canada, the Caribbean region, Central America, Mexico, and the United States of America. It serves this geographic region between meetings of the International Echinoderm Conference, last held in August 2006 at University of New Hampshire. The NAEC is international but remains smaller than the IEC. Based on trends of recent NAECs, we anticipate an intimate conference with about 100 participants. A brief history of the NAEC was written by John M. Lawrence in 2001. (See also his 1998 history of North American meetings about echinoderms in Gulf of Mexico Science 16(1):112-114.)

This conference website will be updated as plans are finalized over the next several months. Fee structure, registration procedure, abstract submission, and an online payment system should be ready in February 2008. If tentative details or formal letters of invitation are needed in advance for planning or for home institutional approval and support for travel, contact one of the co-organizers for assistance.

On-line forms are now available for abstract submission, conference registration, and campus dorms and meals.  See relevant sections below.  If you are visiting this website to make a payment for registration, campus accommodations or meals, or for a field trip, visit the payment site and check the box marked "5th North American Echinoderm Conference"; be certain to enter the purpose of the payment in the comments box.  NOTE:  On-line payment may be accomplished for Visa and MasterCard.  For payment by American Express or Discover, please mail printed copies of the PDF versions for registration and dorms/meals.

Conference Schedule (Tentative)

Sunday, 20 July:  Arrival, evening reception

Monday, 21 July:  Oral & poster presentations

Tuesday, 22 July:  Oral & poster presentations

Wednesday, 23 July:  Field trips, banquet

Thursday, 24 July:  Oral & poster presentations

Friday, 25 July:  Oral presentations, departure

The final schedule will depend on the overall number of abstracts submitted for oral presentations. There will be no concurrent sessions. Recommendations for a few plenary speakers are welcome; contact one of the co-organizers to offer suggestions. Field trips are being planned to several marine, freshwater, and terrestrial locations and to local tourist attractions.

Abstract Submission

Beginning 1 February 2008, echinoderm biologists are invited to submit abstracts for oral and poster presentations in all areas of research. The abstract deadline is 1 May 2008. Non-presenting participants are welcome. Historically, full proceedings of the NAECs have not been published. Abstracts have, however, been published for some NAECs, and we plan to continue this tradition for the Fifth NAEC, with abstracts to be published in the international journal Gulf of Mexico Science.

Please read the information below before visiting the Abstract Submittal Page.

Abstracts are required for both oral and poster presentations. The standard format for a 20-min oral presentation will be a PowerPoint file. A PC, LCD projector, microphone, and laser pointer will be provided. We expect each presenter to bring the PowerPoint file on a standard portable medium (CD, Flash Drive/Thumb Drive/Memory Stick, or comparable device). Presenters should not plan to plug personal laptops into the on-site system. For anyone requiring special presentation equipment, you will be provided the opportunity to make a request on the submittal page. For poster presentations, single-page posters up to 6 feet wide are preferred. Posters will be displayed in the hallways of the building in which the meeting is held. We will provide adhesive strips that will not harm the poster or the wall. For anyone having special requests on poster size, material, or other requirements, you will be provided the opportunity to make a request on the submittal page.

Requirements for abstract format are given in an accompanying PDF file.  Prepare your abstract in word-processing software.  You will be able to upload a .doc or .rtf file of your abstract.

Be prepared with the following:
Names and contact information for all authors
Specification of the presenting author
An abbreviated title of up to 72 characters
Up to 3 key words selected from a drop-down menu (on the submittal page) or unique terms
Selection of oral or poster format for the presentation
Your abstract to upload as a .doc or .rtf file

If you are contributing multiple papers to the conference, please revisit the website after clicking on the “submit” button to submit another abstract. You will receive an immediate confirmation receipt by email, and the co-organizers will send a follow-up notice by email within a few days.

Registration

Registration for the Fifth NAEC is open.  Click on the link below to register on-line.  Paper registration for participants [PDF] and guests [PDF] is now available.  Registration (along with abstract submission) closes for participants on 1 May 2008 and for guests on 15 June 2008.  The 1 May deadline for participant registration and abstract submission is necessary for development of the scientific program and for commitment of campus facilitites of proper size.  Those who accompany participants are not required to register as guests, but registration is required if guests want to join the group for the two social events on Sunday and Wednesday evenings.

All participants must register.  The registration fee ($195 for professionals; $145 for students) includes the six calendar days of the meeting, the Sunday evening reception, snacks at breaks in the program, the Wednesday evening banquet, the meeting program in booklet format and CD, and various meeting-related paraphernalia (e.g., polo shirt with conference logo).  See sections below for campus accommodations, campus meal plan, and field trips.

Upon submission of the on-line registration, a receipt will direct you to a secure payment site.  YOU MUST REMEMBER the amount of your registration fee to enter on the payment page, a generic site for payment of various meeting-related charges.  NOTE:  This site may be used only for Visa and MasterCard; users of American Express and Discover cards must submit paper versions for conference registration and for reservations of dorms and meals.

Travel to the NAEC Venue

MAP from AirportThe venue for the Fifth North American Echinoderm Conference is the campus of Florida Institute of Technology (FIT) in Melbourne, Florida USA. Melbourne is located in Brevard County on the central east coast of Florida. Brevard County includes Cape Canaveral, a geographic feature that is prominently shown on even the smallest image of the State.

Travel by Air
Air service to Melbourne International Airport (MLB) (http://www.mlbair.com) is provided from Orlando International Airport (MCO) and Hartsfield-Jackson Atlanta International Airport (ATL) by Delta Airlines (www.delta.com) and a few smaller carriers. Six national car rental companies serve the airport. Taxis and shuttle services also are available. A map with driving directions from MLB to FIT appears in the upper right; you may click on the map to enlarge or to download it.  The trip takes about 10 minutes. If your airport destination is MCO, please read the next section on travel by road. MCO also has car rentals and shuttle service to Melbourne; the trip is about 75 minutes.

Travel by Road
You can get directions to the FIT campus in Melbourne, Florida through the university website (http://www.fit.edu/directories/maps/index.html), MapBlast (www.mapblast.com), MapQuest (www.mapquest.com), and other Web-based resources by choosing a destination of “150 West University Blvd, Melbourne, Florida 32901”. The campus is 5 miles east of U.S. Interstate 95, 1.6 miles west of U.S. Route 1, and 1 mile south of U.S. Route 192. Travelers from afar should take major U.S. routes to the intersection of I-95 and U.S. 192 (Exit 180 of I-95). Travel east on U.S. 192 for 5.2 miles to Babcock Street. Turn south (right) onto Babcock Street and drive 1.0 miles to University Boulevard and the entrance to campus, which is on the right (west) and marked clearly by a brick wall. The campus boundary along the west (right) side of Babcock Street is delimited by a black rail fence with the university seal displayed on widely spaced white columns of the fence.

Lodging, Meals, and Nightlife

Campus and Local Accommodations

A variety of hotels, motels, and bed-and-breakfast facilities are located within reasonable driving time from the FIT campus.  High-end accommodations are strung along the Atlantic beaches (U.S. Rte. A1A); we do not recommend places farther north than Cocoa Beach or south of Sebastian Inlet (both about 40 min away) and strongly suggest those between Satellite Beach and Melbourne Beach (about 20 min away).  Comparable ranges along U.S. Rte. 1 on the west side of the Indian River Lagoon would be Cocoa to Roseland (30 min) and the northern reaches of the Melbourne area to Palm Bay (15 min).  A short list of local hotels and motels, some offering reduced rates for FIT visitors, may be found on the FIT website. We are holding rooms for 100 guests on the FIT campus in a housing unit called Columbia Village.  These suites are favored among our students.  Rates are $23.00 per day with a one-time linen charge of $12.00.  See "Campus Room and Board" below for on-line room reservation for Columbia Village.

Campsites and RV Parks

Public facilities for RVs, tent camping, and trailored campers are within a reasonable drive from campus:  Wickham Park (25 min), Long Point Park (40 min),  Sebastian Inlet State Park (40 min).  There are additional sites at commercial facilities.

Meals

The campus has several dining facilities.  Meal plans are available for purchase in advance or on site.  The daily charge for a meal plan is $21.00; see "Campus Room and Board" below for on-line purchase of a meal.  Meals may also be purchased individually at all facilities.

The Melbourne area has a great selection of restaurants, coffee houses, microbreweries, and bars, including excellent one-of-a-kind restaurants.  A few are within walking distance from campus.  Many are concentrated in Historic Downtown Melbourne, a very long walk or short drive away, and along Fifth Avenue, Indialantic, a few miles across the Indian River Lagoon.  A list will be available upon arrival for fast-food, family, and fine dining and for evening symposia in the classical sense of the Greeks and Romans.  See the website for Brevard Live Magazine for entertainment and dining in Brevard County.

Campus Room and Board

On-line reservation for dormitory rooms and purchase of meal plans is now available.  You may also download a PDF version of the reservations form and submit it by mail if you will pay by check or credit card.  Alternatively, you may return the form electronically or by mail and make your payment on-line at the secure payment siteNOTE:  This site may be used for payment only by Visa and MasterCard.  For payment by American Express and Discover cards, please mail the paper reservation form with credit-card information and signature.  Click here to access the online dorm/meal reservation page.
